How do I create a new account in FOXY?
To create an account, open the app and enter your email address. You’ll receive a 6-digit code. Enter the code to verify your identity. Then, the app will guide you through a brief process of basic settings, including permission to access location.
I didn't receive my code. What should I do?
First, wait 30-60 seconds. If the email doesn’t arrive, click on ‘Resend code’. Be sure to check your spam folder. Avoid clicking too many times, as too many failed attempts may temporarily block code requests for 24 hours.
I changed devices and the app is asking for a verification code again. Why?
For security reasons, FOXY requires identity verification when logging in from a new device, reinstalling the app, or deleting app data. Simply enter your email and confirm the code again.
The manager changed my role, but the app hasn't updated. Why?
If your user role has been changed (for example: ‘user’ → ‘regional manager’), the app may need to refresh permissions. Log out and log back in. In some cases, the system performs an automatic logout – if not, you can do it manually.
How can I join a regional manager's team?
There are two options:
- The regional manager manually adds you to their team.
- You join an active event through QR scanning, and the app automatically connects you to this manager at the event.
What happens if I am not linked to any Regional Manager?
FOXY will show limited features. For example, you cannot activate a Panic Alert because no manager is assigned to receive it. The system will notify you that your panic button is disabled until you join a team or event.
A manager removed me from their team. Does it affect other managers?
No. Removal affects only the specific team of that manager. If you belong to multiple managers, you will remain linked to all others unless they remove you too.
How do I join an event as a regular user?
You can be added manually by the Regional Manager, or join instantly by scanning the event’s QR code. After joining, you will see the event in your Event List and can submit reports or receive tasks.
How does a Regional Manager create a new event?
- Open the Events screen.
- Tap “Create Event”.
- Enter event details (name, location, time).
- Default Users are added automatically (if configured).
- Add or remove team members if needed.
- Activate the event.
Once active, users can send reports and appear on the map.
Can a user request to join an event from another manager?
Yes, the user can scan the event QR or send a request. The Regional Manager must approve before the user becomes part of the event.
What happens with users who were removed from a manager while inside an event?
Only the responsible manager’s team is affected. Other events or managers are not impacted. The removed user may still appear in other events where they are assigned.
What location data does FOXY share?
FOXY shares only:
- Your live location during an active event.
- Your reported locations (manual reports).
- Panic Alert locations if Panic is activated.
Your location is visible only to Regional Managers who are responsible for you during the event.
How do I turn location permissions on or off?
Go to your phone settings → FOXY app → Location → choose:
- Allow always (recommended for events)
- Allow only while using the app
If disabled completely, live tracking will not work and the manager may see you as “Offline”.
Why does the map show me with a gray icon?
A gray icon means your location service is off or the app cannot get your GPS signal. Turn on location permissions or move to an open area.
As a manager, what locations do I see on the event map?
You can view:
- Live user locations
- Users without active GPS
- Reported locations
- Panic alerts
- Manager-entered locations
- Event markers
Tapping any item opens a detailed info popup.
How do I activate a Panic Alert?
Tap the Panic button → type a short message → confirm activation. Your location will be shared live with all assigned Regional Managers, and the event map will zoom to your position.
What happens if multiple users activate Panic at the same time?
The map will automatically zoom out and show all active Panic users. Each manager who is responsible for those users will see all alerts in real time.
Why can’t I activate Panic?
If you are not linked to any Regional Manager, the button is disabled. You will see a popup saying the Panic feature is unavailable until you join a team or event.
How do I submit a report during an event?
Step by step:
- Open the active task.
- Tap “New Report”.
- Choose a category (issue, incident, location, photo, etc.).
- Add text, images, or location.
- Tap Submit.
The report becomes visible instantly to the Regional Manager.
Can I share my report with another user?
Yes. After submitting a report, open it and tap Share Report. You can copy a link or send it to another user on the same event.
How do I create a new task as a Regional Manager?
Open the event.
- Go to Tasks.
- Tap “Create Task”.
- Write a title and description.
- Assign to a specific user.
- Set a deadline (optional).
- Save.
The task appears immediately for the assigned user.
What happens to a user’s tasks if they are removed from the team?
The Regional Manager must choose another user to take over the tasks. This reassignment affects only tasks inside that manager’s event.
As a user, how do I complete a task?
Open the task → review instructions → tap Complete or add required updates. The manager will receive a notification about your status.
What are Default Users?
These are users the manager selects as part of their permanent base team. Every new event automatically includes Default Users so the manager doesn’t need to add them manually.
How do I add or remove a Default User?
Open the user’s profile → Add to Default Users.
For removal → Remove from Default Users.
A confirmation popup will appear in both cases.
What is the FOXY real-time web monitor?
It’s a large-screen dashboard showing live event activity:
- Reports feed
- Tasks feed
- Panic alerts
- User locations
- Event updates
Clicking any item opens the full details.
I joined an event, but I don’t appear on the manager’s map. Why?
Check that location is enabled. Also verify that the event is active and you have internet connection. Refresh the screen to sync your data.
I submitted a report, but the manager didn’t see it. What now?
Ensure the event is active. If you are offline during submission, the report will be sent once you reconnect. You may also refresh the event page.
My task list is empty but the manager says I have tasks. Why?
Exit the event and re-enter. The task system requires a fresh sync to load new assignments.
The panic button disappeared. What should I do?
This means the system detected that you are not assigned to any Regional Manager or active event. Join a team or ask a manager to add you.
I left an event, but still get updates. Why?
Your device might still be linked. Ask the Regional Manager to remove you from the event or refresh your event list.
My role changed but the interface looks the same.
Log out and log back in. Role changes require a full refresh of permissions and features.
What does the login and initial joining process for the FOXY system include for a new user, and what are the advantages of this process?
The login and initial joining process for FOXY includes several key steps designed to ensure a secure and controlled authorization. First, the user clicks “Continue with Google” and signs in with their Google account, providing a fast and password-free connection. If the user is not yet approved, they select “Request to Join,” enter their email address, and receive a one-time verification code. After entering and verifying the code, the user fills in personal details, chooses the regional manager they want to join under, and can optionally add a note. Finally, the user submits the request, which is sent directly to the selected manager for review and approval. Once approved, the user can log in and access the full system. This structured process keeps FOXY a closed, secure, and organized platform that is accessible only to authorized and verified users under manager supervision.
What does the FOXY home screen provide to users at the start of the workday, and how can they use its main sections?
The FOXY home screen serves as an operational hub that gathers all key information needed to start the workday, including general news, managers’ updates from the field, and active tasks assigned personally to the user. At the top, users see a greeting area with their profile picture, name, and latest notifications, helping them quickly recognize that they are in the correct account and stay aware of recent activity. The News Summaries section displays short, hourly news cards with an option to “View All,” where users can open a full news list that includes publication time and date, allowing them to stay informed about what is happening in the wider world. The Latest Updates section shows cards with event-related updates published by regional or event managers, including category, sender, and time, and also offers a “View All” option to review all updates in a focused list. The Active Tasks section presents cards with task name, short description, urgency level, involved team members, creation time, and a “View Details” link, which leads to the full task screen so users can understand and complete each assignment easily. Altogether, the home screen provides a clear, organized overview of news, managerial updates, and pending tasks in one place, so users can begin and manage their workday in a smart, structured, and efficient way.
How does the task system in the FOXY app help users manage event tasks in the field, from receiving the task until it is closed and approved by the manager?
The task system in the FOXY app gathers all event tasks assigned by managers into one screen, where users can see both active and closed tasks along with urgency level, a short description, team members, and the time each task was created. Inside each task, users can view full task details, including the due date, the manager who created it, and the urgency level, so they clearly understand what needs to be done. The system also lets users upload photos from the field, add precise map locations, attach written or structured reports, and use an internal chat to communicate with teammates and the manager, keeping everyone synchronized in real time. Once the work is completed, the user can close the task, marking it as closed for the entire team and sending it to the manager for final approval, which ensures that field operations are accurate, documented, and efficient.
How does the reports screen in the FOXY app let users add a new report to a task, what types of reports are available, and what benefits does this provide to managers and the operations center?
The reports screen in FOXY lets users add a new report directly from an active task by tapping an “Add Report” button, ensuring every report is automatically linked to the correct task and event. The user selects one of four report types: an Evidence Report for documenting files, photos, videos, or physical items; an Investigation Report for recording interviews, conversations, or field investigations; a General Report for any important information that does not fit other categories; and an External Report for information that comes from someone outside the team. Each report type has relevant fields such as title, attached files, description, location, date and time, interviewee name, or information source, and once saved, the report is automatically sent to the operations center and displayed to managers in real time. Managers can also share reports with additional stakeholders via apps like WhatsApp or email, and a future feature will allow voice recording that auto-fills the report fields, making field reporting fast, structured, and highly accurate.
How does the panic button in the FOXY app work from the moment it is activated until the emergency ends, and what capabilities does it provide to the user and managers during critical situations?
The FOXY panic button is designed for moments when every second counts: on its dedicated screen, the user sees a central emergency button, an optional text field to briefly describe the situation, and a map showing their current location. When the panic button is pressed, a confirmation dialog appears first to prevent accidental activation, and only after confirming is an emergency alert sent to all linked managers, whose main map automatically focuses on the user’s precise LIVE location and starts tracking their movement in real time. As long as panic mode is active, the location is continuously updated so that any movement in the field is immediately visible to managers, and when the situation is resolved the user can cancel the alert with a swipe, which triggers a notification to managers that the emergency has ended. If the app cannot obtain a live location, it displays a warning and a “Try Again” option, typically due to poor GPS reception or missing location permissions, so full location access and no aggressive battery‑saving limits are required for optimal performance. In addition, a future feature will allow activating the panic alert without opening the app, by rapidly pressing the device’s volume button three times, so users can send an emergency signal instantly even when the screen is off.
How does the Live Location feature in the FOXY app work during an active event, and how does it help managers with task management, resource deployment, and user safety?
During an active event, every user who is assigned to that event shares their live location, and this information is displayed on the managers’ map interface together with user icons, report points, event points, and panic alerts. The manager can see in real time where each user is, who is near a specific incident point, and can assign the right tasks to the right people, deploy resources efficiently in the field, and better protect the team’s safety. In addition to live user positions, the map also shows locations shared by users, event reports, panic alerts, and locations entered by managers, and a filters screen allows the manager to focus only on live locations, only reports, only panic alerts, or only manager-defined points. For the feature to work properly, the app needs full location permissions and no aggressive battery‑saving limits, otherwise the user’s location will not update in real time, which directly affects task handling, event management, and personal safety, so it is important to verify that permissions are correctly set in the device settings.
How does the managers’ dashboard screen in the FOXY app give managers a complete overview of their events, and what key actions can they perform from it?
The FOXY managers’ dashboard is the main control screen, giving managers a real-time overview of all the events they are responsible for, along with any new alerts, quick access to their profile, and navigation to additional management screens. In the center of the dashboard, the manager sees a list of events, where each event card shows the event name, opening time, number of assigned users, and its status as Active or Closed, so it is immediately clear which events are still running in the field and which have ended but remain available for history and reports review. Each event also displays how many team members are involved, and with a single click the manager can enter a specific event to view the map, tasks, reports, and all related activity, enabling instant reaction to important information. From the same dashboard, the manager can create a new event via a dedicated button, define its participants, and start operational management within seconds, as well as use filter tools to show only active events, only closed ones, or filter by type of activity when handling a large volume of events. In practice, the dashboard brings together all events, staff, and operational data into one place, allowing managers to run their day in the field easily, efficiently, and with full control.
What does the event management screen in the FOXY app include, and how does it help managers with control and real-time response during an event?
The FOXY app’s event management screen is the command center where managers oversee everything happening in an event in real time: tasks, reports, users, locations, and updates. At the top, event details appear along with an interactive map showing all locations entered or shared during the event, including any panic reports. Managers can view all user-submitted reports, including photos, files, and locations, and access a dedicated screen that organizes reports clearly. On the right side, a task list is displayed by status (new, in progress, submitted for approval) with options to create new tasks and assign appropriate staff. Updates and messages can be sent quickly and effectively to all event users. The bottom section lists all users assigned to the event with options to add or remove participants. When the event ends, it can be closed to generate a smart summary of all activity and automatically close all open tasks, with the summary sent to the operations center. This screen enables end-to-end event management with complete real-time control and monitoring, providing a crucial tool for efficiently managing teams and field operations.
What does the Map screen in the FOXY app include and how does it support real-time event management?
The Map screen in the FOXY app provides managers with full real-time control over the field, displaying live user locations, reports, events, and panic alerts. Every location shown on the map is data from the field — users, reports, locations entered or shared, and more. Live location tracking allows managers to see exactly where each user is and how they move across the area, which is critical for precise task management and understanding human deployment. Additionally, all reports, including photos, notes, and locations, are clearly marked on the map, giving immediate insight into the location and source of events. Panic alerts appear instantly on the map with automatic focus on the event location, supporting rapid response. The map also includes filtering to display only relevant information at any moment — such as live locations, reports, events, or emergencies. Clicking on any map point opens detailed information and allows navigation to the relevant report, task, or event screen. The ‘Navigate’ button launches apps like Waze or Google Maps directly for precise on-site directions. The event map is a vital tool for team management, event response, location tracking, and task deployment in the field.
How is user management conducted in an event using the FOXY app, and how does it affect task execution and communication during the event?
In FOXY’s Event User Management, users are selected to participate in an event from its creation stage, including setting up default users who are automatically added to every new event, with the option to modify this setting at any time. After event creation, the user list can be edited to add or remove participants easily. Only users assigned to the event can receive tasks, upload reports, and get real-time updates, and when a user is removed from an event, all their tasks within it are automatically canceled, ensuring order, accountability, and perfect alignment between the team and on-site tasks. Proper user management prevents unnecessary overload, improves precise task allocation, and maintains clear and focused communication throughout the event.
How is the task creation process conducted in an event within the FOXY app, what does its life cycle include, and what restrictions exist on user management within a task?
In FOXY’s task creation within an event, tasks can be created either from the event management screen or the task management screen. The creation form includes fields for task name, description, priority level, due date and time, and selection of users exclusively from the event members. Tasks can be assigned to a single user or multiple users and can be individual or group tasks. It’s important to note that adding or removing users from a task is only allowed when it is in the ‘new’ status; once the task is ‘in progress’ or beyond, the team composition cannot be altered. The task life cycle encompasses key statuses: ‘new’ (no reports or responses yet), ‘in progress’ (execution and reporting ongoing), ‘submitted’ (marked as complete by a user, pending manager approval), and ‘completed’ (final approval by the manager). When the event closes, all associated tasks are automatically closed as part of a smart summary process, requiring no manual handling. This setup offers precise control over field operations, from employee assignments and status management to real-time reporting.
What is the role of the task management system in the FOXY app, and what key tools and features does it offer managers for full control over field tasks?
The FOXY app’s task management screen provides managers with a centralized view of all tasks from all events under their control, including filtering options by event, status, or priority level to focus on what matters at any given moment. Each task is displayed with its name, brief description, assigned users, and a clear status—new, in progress, submitted, or completed. From this screen, managers can create new tasks by defining descriptions, priority, deadlines, and assigning users. Detailed task screens are accessible by clicking any task, showing full descriptions, targets, priority, involved users, and an organized chat for updates. Task folders contain photos, locations, and reports, all consolidated in one place. Advanced tools such as automatic AI-generated summaries and official task completion marking are also available to managers. This system enables full control, easy monitoring, and real-time communication with the team, ensuring efficient and precise management of all field tasks.
What does the user management for managers screen in the FOXY app include, and how does it contribute to maintaining team quality, information security, and efficient task management?
The FOXY user management screen allows managers to monitor and approve new join requests, view detailed user info including statuses and roles, and add or remove users at any time. There is an automated system that blocks users rejected by multiple managers to ensure security and high team quality. Managers can set users as default users, who are automatically added to events, mark users as unavailable or inactive to prevent inappropriate task assignments, and easily update roles and permissions. When removing a user with active tasks, the system requires reassigning those tasks to another user, ensuring no tasks are left unassigned. The screen supports precise management, security, and efficiency to guarantee a stable and professional team in any event.
What is the role of the News component in the FOXY app, and how important is it for team management and decision-making?
The FOXY News component is designed to provide managers with up-to-date and relevant intelligence on global events, especially in their teams’ areas of operation. The system displays news filtered by domains such as security, health, technology, politics, and economy, and allows selecting specific regions to show only relevant information. When creating a new user, managers assign which news areas the user can access, ensuring users see news aligned with their role and authority. Advanced filtering options by date, source, category, or geographic area are available, and the system also features AI-powered alerts for unusual news loads or sensitive content. This component gives managers a significant advantage in understanding the broader context, identifying real-time trends, and preparing better for developments that could impact operational and managerial activities.
